
Aims and Objectives
Description of the Works:
The project involved the comprehensive fit-out of an expanded dental practice, including the integration of a neighbouring shop and flat into the existing practice. The scope included stripping out and rewiring the new properties, designing and installing a new glass shop front and floor-to-ceiling curved glass partition, and creating custom joinery for the reception desk.
Client Brief:
The client had expanded their practice by letting the neighbouring shop and flat. To create a unified and modern facility, it required seamless integration of these new spaces with its existing practice. The brief included complete strip-out and rewiring the new properties, designing a new reception area, and installing advanced dental equipment.
Aims and Objectives at the outset:
The primary objectives were to connect the three properties to form a cohesive dental practice, ensure compliance with healthcare regulations, enhance the practice’s functionality and efficiency, incorporate modern design elements to improve the patient experience, and deliver the project within budget and on schedule.

Implementation
Pre-Construction Services:
Meetings were held with the client to assess the requirements and finalise the design layout. Structural surveys and health and safety assessments were conducted to ensure thorough preparation for the project. Detailed planning involved coordination with the client’s representatives to align on project goals and specifications.
Construction Phase Health and Safety Services:
Tesla Group adhered strictly to CDM regulations, ensuring all health and safety standards were met. Regular site inspections and safety briefings were conducted to maintain a safe working environment for staff and contractors. This commitment to safety ensured that the project proceeded without incident, supporting the well-being of everyone involved. The following pre-contract documents were issued:

A full construction phase plan was also issued to the client and kept on site as per CDM Requirements.
Cost Planning and Management:
Weekly site meetings were held to monitor progress and manage costs. Provisional sums were converted into fixed costs as the project advanced, ensuring transparency and adherence to the budget. Tesla Group issued fixed-cost quotations for any additional works requested by the client, which were approved via email, allowing for efficient budget management and timely project delivery.
Specific working methods for providing and maintaining high customer satisfaction:
Customer satisfaction was prioritised through regular updates and meetings with the client. A project manager and site foreman were appointed to oversee the works, ensuring high standards were maintained throughout the project. Continual snagging and quality checks were performed to provide the highest standards of workmanship, with a focus on delivering a final product that met or exceeded client expectations.
All joinery items were ‘test’ assembled in the Tesla workshop prior to delivery to make sure they are correctly manufactured and without fault. This would also ensure that installation on site could be completed as efficiently as possible.

Details of trades and disciplines subcontracted out and how suppliers were managed:
Tesla Group Ltd were responsible for the overall programme of works, including all of The client’s own contactors. We would also oversee the delivery of client supplied goods, this included the dental equipment and other furniture.
Tesla Group coordinated with specialist dental equipment installers for the integration of advanced dental technology into the practice. Regular coordination meetings ensured that all subcontractors, including those handling electrical, plumbing, and joinery works, were aligned with the project timeline and quality requirements. This collaborative approach ensured that all trades worked efficiently and effectively towards the common goal of project completion.
Details of meetings, communications, and interactions between all parties:
Weekly site meetings were held with the Tesla Group project manager and all on-site staff to discuss progress, address any issues, and provide updates on the program. These meetings ensured that all parties were consistently informed and engaged throughout the project. A weekly email update was sent to the client, summarising progress and any relevant developments. Unannounced inspections by company directors ensured compliance with CDM requirements, HSE regulations, and quality control.
Bi-weekly, a separate site meeting would be held with the Tesla Group Ltd PM, and the clients representative to view the works, discuss programme and risk management, and to assess the quality of the deliverables. This was minuted by the the clients representative and circulated to all parties
Description of approach to handover:
The project was completed with a thorough handover process. Internal snagging commenced two weeks before completion, and any issues were addressed. The client was invited to attend a snagging visit in the final week to identify any final concerns. Following completion, a post-project evaluation meeting was held, and a detailed O&M file containing all necessary certificates and documentation for the new facilities was provided.
A full O&M file was then drafted and all certificates collated and supplied to the client for their records.

Outcomes
How successful was the project:
The project was a resounding success. It was completed on time and within budget, and the client expressed high satisfaction with the quality of work and the improved functionality of their dental practice. Tesla Group’s commitment to excellence and attention to detail were key factors in the successful delivery of this project.
Were there any variations to the delivery of the project that caused a cost time variation:
A significant challenge was the varying floor levels between the three properties. To rectify this, we carefully considered the layout of the rooms and the positioning of new partitions. We had to increase some floor levels using timber joists, subfloor build-up, and new floor coverings. These issues were resolved promptly through effective communication and collaboration with specialist subcontractors, ensuring the project remained on schedule and within budget.
Lessons Learnt:
The project highlighted the importance of detailed planning and effective communication. Future projects will benefit from the streamlined processes and collaborative approach developed during this fit-out. Key lessons include the need for thorough pre-project assessments and the value of maintaining open lines of communication with all stakeholders to address issues promptly and efficiently.
